1. Who we are and what these terms cover
Field Notes Pro is operated by Nathan Wells, doing business as Field Notes Pro ("Field Notes Pro," "we," "us"). These terms are a binding agreement between you and us covering the Field Notes Pro websites and applications: Crash Narrative, Case Builder, and the bundle of both (together, the "Services"). By creating an account, purchasing a subscription, or using the Services, you agree to these terms and to our Privacy Policy.
2. What the Services are — and are not
The Services are officer-controlled writing, training, and organization aids. They help you draft, structure, and review narrative text and case preparation material using fictional or training data.
The Services are not: a records-management or official reporting system; a system of record; a CJIS-covered system; legal advice; or a substitute for your agency's policies, training, or supervision. Your agency's policy, applicable law, and your own judgment always take precedence over anything the Services produce.
3. Training data only — no real case information
You agree not to enter real case information into the Services. This includes, without limitation: real names of involved parties, victims, witnesses, or suspects; personally identifying information; report, case, or citation numbers; CAD, RMS, or body-worn-camera references; evidence details from actual investigations; medical information; or any Criminal Justice Information as defined by the FBI CJIS Security Policy. The Services include automated screening that may block or flag content that appears to contain such information, but the responsibility for keeping real case data out of the Services is yours.
We may suspend or terminate accounts that repeatedly submit real case data, and we may delete such content when detected.
4. AI-assisted drafting
Parts of the Services use third-party large language models (currently OpenAI models, processed server-side) to generate draft text from the inputs you provide. Drafts are suggestions only. You must review, edit, and take full responsibility for any text before you use it anywhere. AI output can be wrong, incomplete, or inapplicable to your situation. Nothing generated by the Services is a statement of fact about any real event.
5. Accounts
You must provide accurate account information and keep your credentials confidential. Accounts are individual — do not share logins. You are responsible for activity under your account. We may require multi-factor authentication for certain roles. The Services are intended for use by law-enforcement personnel, trainers, and students; you must be at least 18 years old to create an account.
6. Subscriptions, billing, and cancellation
Paid access is sold as per-user subscriptions, billed monthly or annually, at the prices shown on our pricing page at the time of purchase. Payment is processed by Stripe; we do not store your card details. Subscriptions renew automatically until canceled.
You may cancel at any time; cancellation takes effect at the end of the current billing period, and you keep access until then. Except where required by law, payments are non-refundable; if something has gone wrong, contact us at support@getfieldnotespro.com and we will make it right.
We may change prices with at least 30 days' notice; changes apply from your next renewal.
7. Beta features
Features labeled beta (including beta access programs) are provided for evaluation, may change or be withdrawn at any time, may be less reliable than generally available features, and may have additional rules communicated at signup. Beta access can be revoked at our discretion.
8. Acceptable use
You agree not to: misuse, probe, or disrupt the Services; attempt to access other users' data; reverse-engineer the Services except where the law permits; resell access without our written agreement; use the Services to generate content you present as an official record of a real event; or violate any applicable law or agency policy in connection with the Services.
9. Your content and our licenses
You retain ownership of the text and data you enter and the drafts you create. You grant us the limited license needed to operate the Services (hosting, processing, displaying your content back to you, and passing your inputs to our AI provider to generate drafts). We do not sell your content or use it to train our own models. See the Privacy Policy for details on data handling and retention.
10. Availability and support
We aim for high availability but the Services are provided without uptime guarantees. Support is available at support@getfieldnotespro.com.
11. Disclaimers
The Services are provided "as is" and "as available," without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that output will be accurate, complete, or suitable for any official use.
12. Limitation of liability
To the maximum extent permitted by law, we will not be liable for indirect, incidental, special, consequential, or punitive damages, or lost profits, data, or goodwill. Our total liability for any claim arising out of the Services is limited to the amount you paid us in the twelve months before the claim arose.
13. Termination
You may stop using the Services and cancel at any time. We may suspend or terminate access for violation of these terms (including the training-data-only rule in Section 3), non-payment, or where required by law. Sections that by their nature should survive (3, 9, 11, 12, 14) survive termination.
14. Governing law and disputes
These terms are governed by the laws of the State of Texas, without regard to conflict-of-laws rules. Exclusive venue for any dispute arising out of these terms or the Services lies in the state or federal courts located in Harris County, Texas, and both parties consent to jurisdiction there.
15. Changes to these terms
We may update these terms. For material changes we will give notice (for example, by email or an in-product notice) at least 14 days before they take effect. Continued use after the effective date constitutes acceptance.
